Position Summary
The Property Management Assistant supports the daily operations of residential and/or commercial properties by assisting the Property Manager with administrative tasks, tenant communication, leasing coordination, and maintenance follow-up. This role is essential in ensuring properties are well-maintained, tenants are supported, and operations run efficiently and professionally.
 
Key Responsibilities
 
Administrative Support
  • Assist with daily office operations and general administrative tasks
  • Maintain tenant files and property records (digital and physical)
  • Prepare leases, addendums, notices, and other property-related documents
  • Track lease renewals and expirations
Tenant Relations
  • Respond to tenant inquiries via phone, email, and in person
  • Coordinate move-ins and move-outs
  • Assist with rent collection and payment tracking
  • Draft and deliver notices as directed by Property Manager
  • Provide excellent customer service to residents and vendors
Maintenance Coordination
  • Receive and log maintenance requests
  • Schedule service calls with vendors and contractors
  • Follow up to ensure work completion and tenant satisfaction
  • Maintain vendor contact lists and insurance documentation
Financial & Reporting Support
  • Assist with rent processing and delinquency tracking
  • Maintain organized financial records
Leasing Support
  • Schedule and conduct property showings (if applicable)
  • Assist with marketing vacancies (online listings, signage, etc.)
  • Support resident retention efforts
 
Qualifications
  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
  • Previous administrative or property management experience preferred
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office and/or property management software
  • Ability to handle confidential information with professionalism
  • Strong attention to detail and problem-solving skills
